# Calendars, free hours and billing

Connect Google Calendar or Microsoft Outlook to AI Notetaker. Your first calendar is free with 100 hours of recording; each extra calendar costs 30,000 credits a month. How charges, suspensions and ca

Connect the calendars whose meetings you want recorded. **Your first calendar is free** and includes 100 hours of recording. **Each extra calendar costs 30,000 credits a month** (US$30).

## What it costs

* The free calendar and its 100 hours belong to your Dapta account. If you disconnect the free calendar and connect another one, the hours you already used still count.
* An extra calendar needs credits to cover its first charge. If your balance falls short, you add credits first, or, on the Free plan, choose a paid plan.

## Connect a calendar

**Step 1:** Open **AI Notetaker** and go to the **Panel** tab.

***

**Step 2:** Under **Connected accounts**, click **Connect Calendar** for your first calendar, or **Connect another calendar** for the next ones.

***

**Step 3:** For an extra calendar, Dapta shows what it costs before charging anything:

| Row              | What it shows                                           |
| ---------------- | ------------------------------------------------------- |
| **Due today** | The prorated amount for the rest of your billing period |
| **Monthly**      | 30,000 credits a month after that                       |
| **Next billing** | The date of the next full charge |
| **Your balance** | Your current credit balance |

Click **Connect calendar** to continue. If your balance doesn't cover today's charge, the button reads **Add credits** instead, or **View plans** on the Free plan.

***

**Step 4:** Choose **Google Calendar** or **Microsoft Outlook** and click **Connect Calendar**.

***

**Step 5:** Sign in with the account where you have your work meetings and click **Allow**. That's the calendar the bot reads to know which meetings to join.

The amount due today is charged when the calendar finishes connecting.

{% hint style="warning" %}
**Calendar access was not granted?** The bot can't see your meetings until you allow it to read your calendar.

* **Google calendar access was not granted**: click **Retry**, sign in with Google again and allow calendar access.
* **Outlook calendar access was not granted**: click **Retry**, sign in with Microsoft again and accept the calendar permissions. If your company manages Microsoft 365, Microsoft may ask for an admin's approval: ask your IT admin to approve Dapta.
  {% endhint %}

## After you connect

**A welcome email.** A few minutes after the calendar connects, its owner gets an email with what the bot found:

| The email says | What it means |
| -------------------------------------------------------------- | ------------------------------------------------------------------------------------------------------------------------ |
| *Your notetaker is ready for your next meetings* | It lists up to three upcoming meetings the bot will join. |
| *Calendar connected: one step left for your notetaker to join* | No upcoming meeting has a Meet, Zoom or Teams link. If your work meetings are in another account, connect that calendar. |
| *You connected your calendar to Dapta AI Notetaker* | Dapta is still reading the calendar. Your meetings show up on the **Panel** in a few minutes. |

**No meetings with a video link yet.** From a few minutes after you connect a calendar until two weeks later, the **Panel** shows this when no upcoming meeting has a Meet, Zoom or Teams link. Click **Connect another calendar** to connect the one with your work meetings, or paste a meeting link under **Send Meeting Bot** to send the bot right away.

**You didn't finish connecting your calendar.** If you come back to Dapta without finishing on the Google or Microsoft screen, AI Notetaker asks whether you want to try again. Click **Retry** to sign in again, or **Dismiss**.

## Your calendars on the Panel

Each calendar under **Connected accounts** shows **Active** or **Paused**, plus a billing badge when one applies:

| Badge         | What it means                                                                     |
| ------------- | --------------------------------------------------------------------------------- |
| **Free** | Your free calendar, using the 100 free hours |
| **Suspended** | Recording has stopped: the free hours ran out, or there weren't enough credits |
| **Ends soon** | You paused this extra calendar. It disconnects at the end of your billing period. |

When less than a quarter of your free hours are left, a banner on the **Panel** shows how many remain.

The checkbox next to each calendar shows or hides its meetings in the **Panel**'s list of upcoming meetings. It doesn't change what the bot records.

***

## When recording stops

### Free hours used up

When the 100 free hours run out, the free calendar is suspended and the bot stops joining its meetings. The **Panel** shows **Free hours used up**. Click **Resume recording** to turn it into a paid calendar: you pay the prorated amount for the rest of your billing period, then 30,000 credits a month.

### Out of credits

If your balance can't cover an extra calendar's monthly charge, that calendar is suspended and the **Panel** shows **Calendar paused**. Click **Add credits**. Dapta checks again every few hours and, once your balance covers it, resumes the calendar on its own and charges the prorated amount for the rest of the period.

While a calendar is suspended, sending the bot by link to one of its meetings doesn't record either. Dapta shows *Recording is paused for this workspace until billing is resolved.*

***

## Pause or disconnect a calendar

Each calendar on the **Panel** has two buttons:

* **Pause calendar** stops the bot from joining that calendar's meetings. On an extra calendar, it also cancels the calendar at the end of your billing period: the calendar shows **Ends soon**, the **Panel** shows **This calendar stops soon**, and it isn't charged again. Click **Resume calendar** before that date to keep it. After that date, connect it again to use it.
* **Disconnect calendar** removes the calendar and its charges.

{% hint style="info" %}
Had several calendars connected before calendar billing started? Your oldest calendar stays free, with the 100 hours. The others got a free month, and the **Panel** shows the date their billing starts, how many calendars it covers and the monthly total.

## Querying This Documentation
If you need additional information that is not directly available in this page, you can query the documentation by asking a question.

Perform an HTTP GET request on the following URL with the `ask` and `goal` query parameters:

```
GET https://docs.dapta.ai/ai-notetaker/calendars-and-billing.md?ask=<question>&goal=<user_goal>
```

`ask` is the immediate question: it should be specific, self-contained, and written in natural language.
`goal` is what the user is ultimately trying to achieve, the reason they need the answer. Sharing it helps GitBook give you a better, more relevant answer. A goal is most helpful when it describes the outcome the user wants rather than restating the question. For example, with `ask=how do I create an API token`, a goal like `automate deployments from our CI pipeline` lets GitBook tailor the answer to that use case.

The response will contain a direct answer to the question and relevant excerpts and sources from the documentation.

Use this mechanism when the answer is not explicitly present in the current page, you need clarification or additional context, or you want to retrieve related documentation sections.
