# Meeting bot settings

Set the name and image the AI Notetaker bot shows in your meetings, upload a custom banner, and choose who gets the recap by email, for each connected calendar.

Every connected calendar has its own bot. You decide the name and image participants see when it joins, and who receives the recap by email.

**Step 1:** Open **AI Notetaker** and go to the **Settings** tab.

***

**Step 2:** Click **Connected Calendars**. Each connected calendar has its own card.

***

**Step 3:** Set up the bot on the calendar's card:

| Setting                  | What it does                                                                                                                                          |
| ------------------------ | ----------------------------------------------------------------------------------------------------------------------------------------------------- |
| **Bot Name** | The name participants see when the bot joins. By default it uses your name, for example *Jane Doe's Dapta Notetaker*. |
| **Bot Avatar** | The image shown in the bot's video tile. Pick one of the images, **No image**, or your own banner. |
| **Upload custom banner** | Your own image, JPEG or PNG. Recommended 1280 × 720 px, up to 1.3 MB. Square logos are cropped to 16:9 automatically. **Remove banner** takes it off. |
| **Email Summaries** | **Send to meeting host** and **Send to participants**: who gets the recap by email after each meeting. Both are on until you turn them off. |

***

**Step 4:** Click **Save Changes**.

{% hint style="warning" %}
**Participants** are everyone on the calendar invite, including guests from outside your company. Turn off **Send to participants** if recaps should stay inside your team.
{% endhint %}

The **Settings** tab is available to admins of your workspace.

## The emails AI Notetaker sends

| Email                   | Who gets it                                                     | When                                                                                                                                                                                                         |
| ----------------------- | --------------------------------------------------------------- | ------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------ |
| **The recap** | The host and the participants, as set under **Email Summaries** | A few minutes after each recorded meeting. Its buttons open the meeting in Dapta, or a chat with Dapti about it. |
| **The welcome email** | The calendar's owner | Once, a few minutes after the calendar connects. It lists the meetings the bot will join, or tells you why it found none. See [After you connect](/ai-notetaker/calendars-and-billing.md#after-you-connect). |
| **Your weekly summary** | The calendar's owner | Every Monday: last week's meetings, the time Dapta saved you, your highlighted pending tasks and the key meetings |

During the first four weeks after you connect a calendar, a week without recorded meetings doesn't go silent: the Monday email lists the meetings the bot will join in the next seven days, or reminds you that it has none to join yet.

Turning off **Send to meeting host** on a calendar also stops its welcome email and its Monday email.

## Querying This Documentation
If you need additional information that is not directly available in this page, you can query the documentation by asking a question.

Perform an HTTP GET request on the following URL with the `ask` and `goal` query parameters:

```
GET https://docs.dapta.ai/ai-notetaker/meeting-bot-settings.md?ask=<question>&goal=<user_goal>
```

`ask` is the immediate question: it should be specific, self-contained, and written in natural language.
`goal` is what the user is ultimately trying to achieve, the reason they need the answer. Sharing it helps GitBook give you a better, more relevant answer. A goal is most helpful when it describes the outcome the user wants rather than restating the question. For example, with `ask=how do I create an API token`, a goal like `automate deployments from our CI pipeline` lets GitBook tailor the answer to that use case.

The response will contain a direct answer to the question and relevant excerpts and sources from the documentation.

Use this mechanism when the answer is not explicitly present in the current page, you need clarification or additional context, or you want to retrieve related documentation sections.
