# CRM

The CRM holds every contact your agents and sequences work with. Add a contact by hand or from a file, find it, call it or add it to a sequence, edit its details in place, keep notes for your team and

Every contact your sequences call or message lives in the **CRM**. Add contacts by hand or from a file, open one to see its details and properties, act on it with one click and edit it in place.

In the left sidebar, open **CRM**.

{% hint style="info" %}
Adding, importing, editing and deleting contacts, selecting contacts, the action buttons of an open contact, writing notes and **Customize Properties** need edit access to the CRM. With view-only access you can still search, open contacts and read their notes.

## Add a contact

{% embed url="<https://files.gitbook.com/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FCy5rSNtQmtqYCGzJlNEB%2Fuploads%2Fgit-blob-8e5c86d328ebac9e4eb9fee5c9ece119fe0fa170%2Fcrm-new-contact.mp4?alt=media>" %}

{% file src="/files/L43FLylWUm56jvVkghsw" %}

**Step 1:** Click **New Contact** in the toolbar.

**Step 2:** Fill in the three fields. All are required.

| Field            | What to enter                                            |
| ---------------- | -------------------------------------------------------- |
| **Name**         | The contact's name.                                      |
| **Phone Code** | The country code. Search the list by country or by code. |
| **Phone Number** | The number without the country code. |

**Step 3:** Click **Save**. The contact appears at the top of the list, and you can open it right away.

{% hint style="info" %}
A phone number belongs to one contact only. If the number is already in the CRM, no second contact is created: search for the number to find the contact you already have. To add many contacts at once, use **Import CSV**.
{% endhint %}

## Select several contacts

With edit access, every row has a checkbox. Tick one or more contacts, or the box in the header to select the whole page. The toolbar turns into a bar that shows how many contacts are selected:

| Button     | What it does                                                                         |
| ---------- | ------------------------------------------------------------------------------------ |
| **Delete** | Removes the selected contacts from the CRM after you confirm. Their history is kept. |
| **X**      | Clears the selection.                                                                |

Changing the search or the filters clears the selection.

## What a contact shows

Click a contact's row to open it on the right.

The header shows the contact's name (or the phone number when there is no name), the phone number under it, and **⋮** with **Edit** and **Delete**. Under the header, the action buttons work on this contact: see [Act on a contact](#act-on-a-contact).

The **Information** tab shows:

* **Tags**: the contact's tags.
* **About**: **Contact Name**, **Phone Number**, **Created at**, **Updated at** and **Contact ID**, with a button to copy the ID.
* **Custom Columns**: every contact property, in the order you set in [Customize Properties](#customize-properties). A property this contact has no value for shows **N/A**.

The **Notes** tab holds your team's notes on the contact. See [Notes](#notes).

***

## Edit a contact

You change a contact's details right in the contact view, custom columns included.

**Step 1:** Open the contact, click **⋮** in its header and choose **Edit**.

**Step 2:** **Contact Name**, **Phone Number** and every value under **Custom Columns** turn into fields. Change what you need.

**Step 3:** Click **Save**. It turns on as soon as you change something. **Cancel** leaves everything as it was.

{% hint style="info" %}
The name and the phone number can't be left empty. Custom column values are typed as text, whatever the property's data type.
{% endhint %}

**Edit** in a row's **⋮** menu opens a smaller window to change only the name and the phone number.

***

## Notes

Notes keep what your team knows about a contact in one place. The **Notes** tab shows how many there are.

1. Open the contact and select **Notes**, or click the **Note** button.
2. Type in **Write note here...**. Press **Enter** to save the note, or **Shift + Enter** for a new line.
3. The note shows your name and when you wrote it.

To change a note, click **⋮** on it and choose **Edit** or **Delete**. You can only edit or delete notes you wrote; your teammates' notes have no **⋮**.

## Act on a contact

{% embed url="<https://files.gitbook.com/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FCy5rSNtQmtqYCGzJlNEB%2Fuploads%2Fgit-blob-606d0f06177f478a713a2375fcd2c05856658308%2Fcrm-contact-actions.mp4?alt=media>" %}

{% file src="/files/RbeijAWkrFey1g0BrIlf" %}

An open contact has a row of buttons under its header:

| Button         | What it does                                                                                                                                                                                                                  |
| -------------- | ----------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------- |
| **Call** | Calls the contact now. Choose a **Voice agent**, fill in the agent's variables if it has any (the contact's name is filled in for you), and click **Call now**. |
| **Template** | Opens **New conversation** with the contact's number filled in, so you can send a [WhatsApp template](/ai-text-agents/channels/message-templates.md). |
| **Voice Seq.** | Adds the contact to a voice sequence. Pick it in **Select a sequence** and click **Add to sequence**. Sequences the contact is already active in aren't listed. |
| **Text Seq.** | Adds the contact to a text sequence. Pick it in **Select a sequence** and click **Add to sequence**. Completed, cancelled and failed sequences aren't offered, and a number that is already in the sequence isn't sent again. |
| **Note** | Opens the **Notes** tab to write a note. |

**Call**, **Template** and **Text Seq.** need the contact to have a phone number.

A row's **⋮** menu in the contacts table has **Call**, **Send template**, **Add to campaign** (the same as **Voice Seq.**), **Edit** and **Delete**. **Delete** removes the contact from the CRM after you confirm.

{% hint style="info" %}
A contact that had left a voice sequence and is added again goes back in line with its attempts reset.
{% endhint %}

## Customize Properties

Properties are the extra fields every contact can carry, beyond name and phone: a company, a plan, an appointment date. You map your file's columns to them when you import contacts, and each contact shows its values under **Custom Columns**.

**Step 1:** Click the gear icon (**Customize Properties**) in the toolbar. The panel lists your properties by display name.

**Step 2:** Click **Add Property** and fill in:

| Field            | What to enter                                                                                                                                |
| ---------------- | -------------------------------------------------------------------------------------------------------------------------------------------- |
| **Display Name** | The name shown in the CRM. |
| **Field Name** | The key that identifies the property. It is filled in from the display name, in lowercase with underscores; you can change it before saving. |
| **Data Type** | **Text**, **Number**, **Date** or **Boolean**. |

Click **Add Property** to save it.

**Step 3:** Manage the list:

* Click the pencil to edit a property. You can change everything except its **Field Name**.
* Click the bin to delete a property, then confirm.
* Drag a property by its handle to change the order. You can also focus the handle and use the up and down arrow keys.

{% hint style="warning" %}
The **Field Name** can't be changed after the property is created, because prompts, flows and import mappings use it to find the value. If you need a different key, create a new property.
{% endhint %}

## Querying This Documentation
If you need additional information that is not directly available in this page, you can query the documentation by asking a question.

Perform an HTTP GET request on the following URL with the `ask` and `goal` query parameters:

```
GET https://docs.dapta.ai/crm.md?ask=<question>&goal=<user_goal>
```

`ask` is the immediate question: it should be specific, self-contained, and written in natural language.
`goal` is what the user is ultimately trying to achieve, the reason they need the answer. Sharing it helps GitBook give you a better, more relevant answer. A goal is most helpful when it describes the outcome the user wants rather than restating the question. For example, with `ask=how do I create an API token`, a goal like `automate deployments from our CI pipeline` lets GitBook tailor the answer to that use case.

The response will contain a direct answer to the question and relevant excerpts and sources from the documentation.

Use this mechanism when the answer is not explicitly present in the current page, you need clarification or additional context, or you want to retrieve related documentation sections.
