# Go live with calls

The whole path from an empty account to your first contacts called by an AI Voice Agent: build it, hear it, send every result to your tools, give it a number, load your list, launch the sequence and r

You came to Dapta to get people on the phone. This page takes you there in one sitting: by the end, an agent you built is calling your list from your number, on your schedule, and what each contact said is already in your sheet or your CRM.

It follows the order that works. Each stage ends with something you can check, and links to the page that goes deeper when you need it.

## Where you are going

| --------------------------------- | ---------------------------------------------------------------------------- |
| **1. Build the agent** | An agent that knows your business and why it is calling |
| **2. Hear it first** | A free call to your own phone, and a script you are happy with |
| **3. Send results to your tools** | Every call's result in Google Sheets, HubSpot or a flow, from the first call |
| **4. Give it a number** | The number your contacts will see when the agent calls |
| **5. Prepare your list** | A file with the people to call and the details the agent uses |
| **6. Create the sequence** | Who calls, to whom, when, and how many times |
| **7. Watch it go live** | Your own phone ringing first, then the sequence running on its own |
| **8. Read your first results** | Who answered, what they said, and what to fix |
| **9. Keep it going** | Contacts who never answer get a WhatsApp, and the list keeps filling |

## Before you start

* **A Dapta account with credits.** An answered call costs 333 credits per minute; every rate is on [How credits work](/my-account/how-credits-work-in-dapta.md).
* **Your phone at hand.** The agent will call it so you hear exactly what your contacts will hear.
* **The list you want to call**, in a spreadsheet: at least a name and a phone number per person.
* **Where your team keeps its leads**: a Google Sheet or HubSpot. Every call's result will land there.
* **People who expect to hear from you.** Call contacts who gave you their number, at hours that are legal and polite where they live. The calling schedule in stage 6 is yours to set.

***

## 1. Build the agent

The agent is the person on the line. Give it what you would give a new hire on day one: who it is, why it is calling, and who it works for.

{% embed url="<https://files.gitbook.com/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FCy5rSNtQmtqYCGzJlNEB%2Fuploads%2Fgit-blob-3c7e83e629df3816a2d8c7ff49592ef5f30519bb%2Fgo-live-voice-agent.mp4?alt=media>" %}

{% file src="/files/796Hru1gSZItvhckbxY7" %}

**Step 1:** Go to **Voice Agents → Agents**, click **New Agent** and choose **Create from scratch**. Pick **Custom Voice Agent** and the language it will speak, then click **Continue**. The other templates (lead qualification, outbound calls, a receptionist) start you from a ready-made agent.

***

**Step 2:** In **Agent Context**, tell it its job:

* **Agent Name** — the name it introduces itself with.
* **Purpose** — the closest to why you are calling: confirming meetings, qualifying leads, scheduling meetings, sending reminders.
* **Time zone** — so it talks about dates and times the way your contacts live them.
* **Important Instructions** — the tone, what it must always do, and what it must never say.

Click **Save and continue**.

***

**Step 3:** In **Company Context**, enter your **Company Name** and a short **Company Description**. If you have a website, paste it in **Website URL** and click **Generate Context** to have the description written for you, then read it and fix what it got wrong. Click **Save and continue**.

***

**Step 4:** Dapta writes the agent's first prompt from everything you entered, and opens **Test your agent**. Read the prompt: you can change it any time, or improve it with AI.

Look at the variables the prompt uses, such as `contact_name`. A variable is a blank the agent fills with each contact's own data during the call: their name, their company, the date of their appointment. Keep the list short and write it down. Those are the columns your list will need in stage 5.

## 2. Hear it before anyone else does

Your contacts get one first impression. Spend yours first. Open the agent and its **Test Agent** tab: there are four ways to try it.

{% embed url="<https://files.gitbook.com/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FCy5rSNtQmtqYCGzJlNEB%2Fuploads%2Fgit-blob-d82d0317f03e07beface4c1642a5a321d5f26d5a%2Fgo-live-voice-test.mp4?alt=media>" %}

{% file src="/files/M1TykP11Q9cysQBt7SoO" %}

|                | What it does                                                                                        |
| -------------- | --------------------------------------------------------------------------------------------------- |
| **Web Call** | Talk to the agent from your browser, with your microphone. |
| **Phone Call** | The agent calls your phone, exactly like a real call. Add your phone once with **Add Test Number**. |
| **Test Chat** | Write as if you were the contact, and the agent answers as it would on a call. |
| **Simulation** | AI plays the customer and has the whole conversation with your agent while you watch. |

**Step 1:** Start with **Test Chat** or **Simulation** to check the script quickly: say you are busy, ask the price, push back, ask it to call later.

***

**Step 2:** Then take a **Phone Call** to hear the voice. Fill in sample values for the variables and click **Start Phone Call**. Calls to your registered **Test Number** are free: they appear in the call history labeled **Test Call**, with nothing deducted. A call to any other number costs credits, even while you are testing.

***

**Step 3:** Fix in the prompt what you did not like, and try again.

{% hint style="success" %}
**Move on when** you have had a call you would be glad for a customer to receive.

## 3. Send every result where your team works

This is the easiest win in Dapta, so set it up before the first real call. An **after-call destination** takes the result of every call and puts it in the tool your team already works in, the moment the call ends. Nobody copies anything by hand, and your first sequence fills your sheet or your CRM from its very first call.

{% embed url="<https://files.gitbook.com/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FCy5rSNtQmtqYCGzJlNEB%2Fuploads%2Fgit-blob-f275ab053af95905dd3d016ea98bc3c257f30288%2Fvoice-agents-post-call-destinations.mp4?alt=media>" %}

**Step 1:** In the agent, open the **Call Analysis** tab and go to **After-call destinations**.

***

**Step 2:** Choose where the results go:

| Destination | What happens after each call | How to set it up |
| ----------------- | ------------------------------------------------------------------------------------------------------------------- | -------------------------------------------------------------------------------------------------------------------------------------------------- |
| **Google Sheets** | A new row per call | Choose your **Google account**, click **Choose spreadsheet**, pick the **Tab**, match each column to the call data and click **Save destination**. |
| **HubSpot** | The contact is found or created, its fields or its deal are updated, and a note gets the summary and the transcript | Choose the HubSpot account and what to do, **Match contacts by** email or another field, map the fields and click **Save destination**. |
| **Dapta flow** | Any flow you built runs with the call's data | Pick the flow and click **Use this flow**. |

Starting from nothing? Use Google Sheets. Create a sheet, type your column names in the first row, for example `contact_name`, `phone` and `call_summary`, and connect it. **Auto-map columns** pairs them with the call data by name.

Each destination can send the contact's details, the transcript, the AI's summary, and the data you ask the agent to capture in **Data Retrieval from your Calls** on the same tab, such as whether a meeting was booked.

***

**Step 3:** Click **Test with last call**. It runs your destinations with the agent's latest call, the test call you made in stage 2, or with sample data if there is none yet. In about a minute, the row is in your sheet or the note is in HubSpot.

{% hint style="success" %}
**Move on when** your test call's result is sitting in your sheet or your CRM.

## 4. Give it a number

Your contacts see a number when the phone rings. Choose the one that fits you:

{% embed url="<https://files.gitbook.com/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FCy5rSNtQmtqYCGzJlNEB%2Fuploads%2Fgit-blob-5a2fe9652af1af8f00dd8528b33a5fa6bd13d442%2Fgo-live-voice-number.mp4?alt=media>" %}

{% file src="/files/mhqfCFnSH25i6kUqIvNO" %}

| Your situation | What to do |
| ---------------------------------------- | ----------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------- |
| **You want a US number working today** | **Voice Agents → Phone Numbers → New Phone Number → Buy Number**. Search by area code or digits, click **Buy**, check the summary and confirm with **Buy Number**. About 1,380 credits a month; the exact price shows before you confirm. |
| **You already have a business number** | Verify it so calls can go out from it: **Phone Numbers → New Phone Number → Verify my Number**. An automated call gives you a code to type on the keypad. |
| **You need a number in another country** | Ask **<support@daptatech.com>**. Numbers outside the US are set up for you and quoted in credits first. |
| **You have your own carrier** | Connect your SIP trunk, so calls go through the contract you already have. |

Then make it the agent's number. Open the agent's **Context** tab and, under **Caller ID**, pick the number. This is the number people see when the agent calls them, and the one your sequence calls from.

If you bought the number in Dapta, also assign it to the agent in **Phone Numbers → Purchased** (the pencil next to the number, then choose the agent). That way, when a contact calls back, your agent answers.

## 5. Prepare your list

A sequence calls the people in a list. Get the file right once and every sequence after this one is quicker.

| Column | What goes in it |
| --------------------------- | ------------------------------------------------------------------------------------------------------------------------------------------------ |
| **Phone number** | Required. International format with no spaces or dashes: `+573001234567`, `+15551234567`. |
| **Name** | Strongly recommended, so the agent greets each person by name. |
| **One column per variable** | Everything the prompt uses. Name each column exactly like its variable (`company_name`, not `Company`), so each contact's data reaches the call. |

* Save it as **CSV** or **XLSX**. Old `.xls` files are not accepted.
* Put the column names in the first row.
* **Start with a small first batch**, ten or twenty contacts, with yourself in the first row. You hear exactly what everyone else hears, and you fix anything before the whole list gets the call. The rest goes in later from the sequence's **Contact List** tab.

{% hint style="info" %}
Every contact you import is saved in your Dapta CRM, so you can reuse them in your next sequences without importing again.

## 6. Create the sequence

A sequence is the agent, the list and the schedule put together. Go to **Sequences → Voice Sequences** and click **Create Sequence**. The wizard has four steps.

{% embed url="<https://files.gitbook.com/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FCy5rSNtQmtqYCGzJlNEB%2Fuploads%2Fgit-blob-76f45ee8c2fb2faf42319c94da8bc1be3e61876f%2Fgo-live-voice-sequence.mp4?alt=media>" %}

{% file src="/files/pLcGtFjhC5Uxe6YYhhHQ" %}

**Step 1: Create a new sequence.** Give it a **Sequence Name** you will recognise, an optional objective, and pick your **Agent**. Click **Save and continue**.

***

**Step 2: Configure your sequence.** Decide when the agent may call and how persistent it should be.

* **Start date** and an optional **End Date**. With no end date the sequence keeps going.
* **Max attempts per contact** and **Attempts per day**. A good first setting is **3 attempts in total, 1 per day**: it spreads the calls over three days, which reaches more people than calling three times in one afternoon.
* **Time zone** — your contacts' time zone, not necessarily yours.
* **Weekly Schedule** — the days and hours when calls are allowed. Each day can have its own hours, and **+ Add Time Slot** gives you a morning and an afternoon window.

The **Sequence summary** card repeats your choices in plain words. Read it before you continue.

***

**Step 3: Connect Data Source.** Choose **Upload file** and select your list. Dapta takes you straight to the mapping. If your contacts live elsewhere, you can also **Connect Google Sheet**, **Connect webhook** or **Connect HubSpot**, and new contacts flow in on their own.

***

**Step 4: Property mapping.** **Phone Number** and **Contact Name** are matched for you when Dapta recognises them. Use **Auto-map** for the rest, check each pair, and add any missing column with **+ Add Property**.

{% hint style="warning" %}
**Finish switches the sequence on.** It goes live straight away and starts calling inside your schedule, from the start date you chose. Not ready yet? Pick a later start date in step 2, or turn off **Active** right after you finish.
{% endhint %}

Click **Finish**. If some rows fail, for example a phone number in the wrong format, Dapta lists them in **Import Errors**. The valid rows are already in your sequence. **Download Error File**, fix those rows and import them later from the **Contact List** tab.

[Create a sequence](/ai-voice-agents/how-to-create-your-first-campaign-in-dapta/create-a-campaign.md)
{% endcontent-ref %}

***

## 7. Watch it go live

Your sequence is live from the moment you click **Finish**. The first contacts on your list are called inside your next calling window, so with yourself in the first row you are the first to hear it.

**Step 1: Answer your own call.** Listen to it as your contacts will. If something is off, turn off **Active** at the top of the sequence, fix the agent, and turn it back on.

***

**Step 2: Let it run.** With **Active** on, Dapta calls by itself inside the windows you set, and retries the people who did not answer until they run out of attempts. **Run** places a round of calls by hand while the sequence is switched off, which is useful for a quick check.

The status tells you what it is doing:

| Status        | What it means                                                                 |
| ------------- | ----------------------------------------------------------------------------- |
| **Scheduled** | It starts on the date and time you set. |
| **Running** | It is calling right now. |
| **Waiting** | Between batches, or outside your calling hours. It picks up again on its own. |
| **Completed** | Everyone on the list has been processed. |

{% hint style="info" %}
Each sequence starts one call every 3 seconds, and the same person is never called twice within an hour, even by two different sequences. How many calls can be live at the same time depends on your plan: see [Concurrent calls](/ai-voice-agents/phone-numbers/concurrent-calls.md).

## 8. Read your first results

This is the moment you came for. Open the sequence:

* **Call Logs** — every call: how it ended (**Disconnect Reason**), whether the agent achieved its goal (**Call Successful**), the summary, and the data the agent picked up during the call. The eye icon on a row opens that contact's calls, with the recording and the transcript.
* **Contact List** — each person, how many times they were called and whether they were reached.
* **Metrics** — **Connection Rate**, average duration, credits used and the funnel from **Total Contacts** to **Connected** to **Successful**.
* **Your sheet or your CRM** — the same results, already where your team works, thanks to stage 3.

How to read that funnel on day one:

| What you see | What it usually means |
| -------------------------------------- | ----------------------------------------------------------------------------------------------------------------------------------- |
| Few **Connected** out of the total | Wrong hours, the wrong time zone, or numbers that are not real. Check the schedule and the error file. |
| Many **Connected**, few **Successful** | People answer, but the conversation does not land. Listen to five calls, then improve the opening and the objections in the prompt. |
| Many calls ending in voicemail | Move your calling windows and spread the attempts over more days. |

Leave a thumbs up or down on the calls you listen to. It keeps your review honest and shows you what to change in the prompt.

## 9. Keep it going

Your first sequence is live. These are the next two things most teams add.

**Reach the people who never pick up.** Turn on **WhatsApp fallback** in the sequence's **Settings**: contacts who run out of attempts without ever answering get an approved WhatsApp template instead. It needs a connected WhatsApp line and an approved template, which [Go live on WhatsApp](/text-agents-first-sequence.md) walks you through.

## Querying This Documentation
If you need additional information that is not directly available in this page, you can query the documentation by asking a question.

Perform an HTTP GET request on the following URL with the `ask` and `goal` query parameters:

```
GET https://docs.dapta.ai/voice-agents-first-sequence.md?ask=<question>&goal=<user_goal>
```

`ask` is the immediate question: it should be specific, self-contained, and written in natural language.
`goal` is what the user is ultimately trying to achieve, the reason they need the answer. Sharing it helps GitBook give you a better, more relevant answer. A goal is most helpful when it describes the outcome the user wants rather than restating the question. For example, with `ask=how do I create an API token`, a goal like `automate deployments from our CI pipeline` lets GitBook tailor the answer to that use case.

The response will contain a direct answer to the question and relevant excerpts and sources from the documentation.

Use this mechanism when the answer is not explicitly present in the current page, you need clarification or additional context, or you want to retrieve related documentation sections.
